How KTC handles your personal information

KTC Container Terminal Corp. (“KTC”, “we”, “us”) respects your privacy and protects the personal information you share with us. This policy explains what we collect through this website and at our offices, why we collect it, how we keep it safe, and the rights you have under the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission.

1. Our commitment

We follow the principles of transparency, legitimate purpose, and proportionality. We collect only the personal information we need, use it only for the purposes stated here or required by law, and keep it only for as long as necessary.

2. Information we collect

Depending on how you deal with us, we may collect:

  • Contact details — your name, company, email address, and phone number when you message us through this website, call, or email one of our desks.
  • Transaction details — job, container, bill of lading, booking, and vessel or voyage references, and the documents you present for accreditation, assessment, payment, release, or receiving of cargo.
  • Payment confirmations — deposit slips or transfer confirmations you send us to settle charges. We do not ask for, and you should not send, card numbers, passwords, or one-time codes.
  • Technical information — the IP address and browser type of a visitor who sends a message through the website, used only to prevent spam and abuse.
  • Gate and terminal records — driver, vehicle, and identification details recorded for security and cargo control when entering the terminal, and CCTV footage inside our premises.

3. How we use it

  • To respond to your inquiries, concerns, and requests for assessment or verification of charges.
  • To process accreditation, billing, payments, official receipts, and the release or receiving of cargo and containers.
  • To keep the terminal, its people, and the cargo in our care secure.
  • To comply with the requirements of the Philippine Ports Authority, the Bureau of Customs, and other government agencies, and with court or lawful orders.
  • To maintain and improve this website and our services.

We do not sell personal information, and we do not use it for advertising.

4. Who we share it with

We share personal information only when needed for the purposes above:

  • Service providers that host this website, deliver our email, and protect our forms from automated abuse. They process information on our behalf and under our instructions.
  • Shipping lines, brokers, truckers, and other parties to a transaction, to the extent needed to move or release your cargo.
  • Government agencies and regulators when the law requires it, and courts or law enforcement on a lawful order.

Where a provider is located outside the Philippines, we require safeguards consistent with the Data Privacy Act.

5. Cookies and this website

This website does not use advertising or analytics trackers. It uses only the technical cookies needed to serve pages quickly and to keep its forms secure. The vessel schedule and other public pages can be read without giving us any personal information. Links to other websites, such as maps, are governed by those websites’ own policies.

6. How long we keep it

We keep personal information for as long as needed for the purpose it was collected, and afterwards only for the period required by tax, port, customs, and other laws or to establish or defend legal claims. Website messages are kept for no longer than one year unless they form part of a transaction. When information is no longer needed, it is securely deleted or anonymised.

7. How we protect it

We use reasonable organisational, physical, and technical measures to protect personal information from loss, misuse, and unauthorised access. Access is limited to employees and providers who need it for their work. This website is served over an encrypted connection.

Under the Data Privacy Act you have the right to be informed, to access and correct your personal information, to object to or withdraw consent for its processing, to ask for its erasure or blocking where allowed, to data portability, to indemnity for damages, and to lodge a complaint with the National Privacy Commission. Our services are for businesses and adults. We do not knowingly collect personal information from children.

We may update this policy from time to time. The effective date at the top shows the latest version, and material changes will be posted on this page.
